Paper Out®: Exporting Vaulted Transactions
eCore™ provides a multi-part escrowed export with verification of the requestor’s right to export and verified receipt of the documents. The export capability facilitates the movement of transactions and their documents permanently out of the eVault. The Paper Out® process converts transactions to paper or an electronic output form to prepare them for transfer to a non-vault host. Documents export along with their historical information. For paper conversions of Electronic Original®, eCore provides full documentation, establishing the paper version as being the true authoritative copy. eCore uses a multi-step export process, requiring authentication of the produced documents by operators at Command Center.
Key features of the Paper Out® process export include:
- Escrowed export – The system holds documents requested for export in escrow. Escrowed documents may not be changed, deleted, or transferred.
- Control over the list of documents exported – The requestor can choose which Electronic Original documents to export, what type of document to export (copies or originals), and whether to retain copies.
- Generation of legal documentation for paper export – Includes full documentation of the transfer of the Electronic Original to a paper original.
- Generation of Export List – The system generates a full list of exported documents in the appropriate form.
- Generation of Signature Information – For each exported document, the system generates a full list of the digital signatures applied to the document. The system removes the digital signatures from the exported document regardless of whether the export is to paper or electronic file.
- Export audit trail – eCore maintains a full audit trail of the export in the transfer audit trail for each exported document, assuring the information on the document includes the identity of the recipient of the exported document for future audit/review.
- Publication of Export Events – The system publishes triggers at the completion of each step in the export process.
- Entire Transaction‐ eCore only supports the export of an entire transaction. The system either exports or destroys all the Electronic Originals in a transaction, and destroys all other document types (eStore, eDraft, eCopy). The export process removes all digital signatures on exported documents.
